The specific programme and selected place
Before registering, read the date, place, price, accommodation and inclusions shown for the specific programme. Your order uses the participation and accommodation option and price shown during registration and on the payment page.
30-minute temporary hold
The selected place or room is held for 30 minutes from submission of the order. Payment must be completed during that time. When the deadline expires, an unpaid place is released automatically and may be sold to another person.
Payment and final confirmation
A place is confirmed when the payment provider confirms the full amount due and the order is marked as paid in the Zuvele system. Receipt of payment confirms payment, while the organiser separately confirms final participation where an organisational review is required. Confirmation and access to the private participant area are sent to the email address used during registration.
Late or inconclusive payment
A payment confirmed after the 30-minute deadline does not automatically restore or occupy the place and is not counted as a sold ticket because the same capacity may already have been sold. An administrator checks current availability and contacts you to confirm the booking if a suitable place remains, offer another option, or arrange a refund. If money was debited but confirmation did not arrive, do not pay again; check the order status in the private participant area.
Participant cancellation and refunds
A refund is calculated from the amount actually paid. At least 30 calendar days before the retreat, 100% is refundable; 29–8 days before, 80%; and 7–2 days before, 70%. One day before the retreat, on its first day, or after it begins, no refund is available. A whole double-room booking is cancelled and refunded as one order. Automatic refund availability and the time funds reach the account depend on the payment method and bank; an inconclusive state is reviewed manually so a refund is not sent twice.
Private participant area and data
Registration and payment status, questionnaire, room, documents and messages are available through a private link or account intended only for its recipient. Registration, order and participant data is processed to administer registration, payment, participation and event-related communication, as described in more detail in the Privacy Policy.
Needs and boundaries
Provide only necessary dietary, accessibility or health information. A retreat is pastoral and does not replace emergency, medical or psychological care.
General event photographs
Several general event photographs may be taken during the retreat to document Zuvele activities. By registering, a participant agrees that they may appear in those general photographs. This is part of the participation terms, not a separate optional consent. A photograph deliberately featuring one participant requires their separate consent.
